

These are the latest requirements for your logbooks. Many trainees will already use a computerised log to record and retrieve details of the operations that they have carried out. However, the main purpose of these programs is to enable you to submit a standard data set of your operative and training experience to the Specialist Advisory Committee in General Surgery (SAC). This will be required by the SAC in a computerised form from October 1999 and although it is not essential that you use these programs, they have been designed to meet the needs of all Higher Surgical trainees in General Surgery, some of whom may not be fully conversant with computers and may not have access to the latest equipment.
At the moment these only apply to the requirements of the general surgery Specialty Advisory Committee (SAC).
The SAC do NOT state that you must collect your logbook on a computer using their recommended program.
They do say however that you MUST collect all the data that makes up their minimum data set.

A limited number of index operations have been selected by each subspecialty and the level of operative supervision has been decided by the Joint Committee on Higher Surgical Training (The parent body of the SAC). These may change with experience but it is essential that all trainees record their training experience in the same format and use the same definitions. Only in this way can comparative analysis of trainees, trainers and training programs be valid.
All operations should be put into one of the following sub-specialties.

Additional procedures may be added to this list and these will be analysed and potentially included in subsequent updates (they may not, however, be deleted). Those trainees wishing to use the dataset within their own software may find a copy in file at dataset.xls.
The approved format for submission of the standard data set to the SAC via your Higher Surgical Training Committee (HSTC) or Board is outlined in the software manual. In addition to a complete record of operative procedures, the SAC also wishes to collect information on the number of minor procedures performed such as sigmoidoscopy, diagnostic endoscopy etc. where only the date, the number performed and the level of supervision is required. The educational and academic aspects of your training post will also need to be recorded and the format is also outlined in the software manual.
To allow central collection and analysis of data, it is particularly important
to ensure that any hospital or consultant name entered into the program conforms
to that agreed with your HSTC. An approved list of consultant names for your
Region is outlined in consultant.doc
and hospitals in hospitals.doc. The Psion software
allows only 10 consultants to be placed in the "pick list" at a time.
The PC software will install with a full(ish) regional list already completed.
The maximum number of characters allowed for both Hospital name and Consultant
name is 23 including spaces. For capitalisation to work on Consultants' names,
please write in the following format: Jones J A ( a space after the surname
and between the initials) & St Elsewhere Hospital (a space between words).
Consultant names should be entered in the following format: No title - Surname
- Initial(s) e.g. Bloggs X Y and Hospital names capitalised e.g. Dumfries &
Galloway R I.
TRAINEES SHOULD PAY PARTICULAR ATTENTION TO THIS WHEN INITIALISING THE PROGRAM
TO AVOID LOSS OF ANALYSABLE DATA.

There is now an update for the PC version of the logbook programme (version
2.2) which allows a greater number of operation records (up to 5000)
to be stored. Click update to download and save it
to a spare folder/directory, e.g. c:\bin. Run the log22.exe which is a self-extracting
"Zip" file in that spare folder/directory. Please read the installation
notes in the Delphi22 Note.doc which is a Word file. Please make a copy of your
database in a new folder/directory e.g. c:\olddelfilog as a backup before copying
the new log.exe file to the c:\delfilog folder/directory, replacing the old
log.exe file. Run the program as usual.
PC (Delphi) Version 2.2 has been produced for users who wish to accumulate data
from more than one training period. However, the software was not originally
designed for this and users should make frequent backups.
Please note:
1. The software must be run from hard disk, not floppy.
2. The software has been tested on a Pentium II PC 350 MHz and 64 MB RAM - this
should be regarded as a minimum specification to run Version 2.2.
3. A maximum of 5,000 operation records has been set.
4. Functions such as searching and sorting will slow down with very large data
sets.
5. Printing large data sets may be very slow. You are advised to print a maximum
of one training period/500 records at a time.
6. This version is run at your own risk.
7. Users are urged/advised to use the MS Access 97 Analysis Database to accumulate
data, rather than the PC (Delphi) Surgeon's Log.
